Having a successful event often depends on the quality of the planning that goes into the event. While large events may often seem overwhelming, breaking the planning process into the following eight phases will help make planning such an event more manageable.

1. Determine the needs and wants of those who will be attending. Use resources such as focus groups, brainstorming sessions, random polls, or idea boards.

2. Determine the objectives that the event should fulfill. Is the event being held to inform? Is it an entertainment event? Alternatively, is it just a social get-together?

3. Get people involved so that event planners have the benefit of different points of view while planning the event.

4. The pre-planning process is a key stage in planning a successful event. Find an appropriate time, place, and location for the event. Determine how the event will be funded and begin raising funds at this time.


5. The program planning itself begins about halfway through the planning process. Using a checklist, event planners should determine what the finished result should be, create timelines for accomplishing what needs to be done, and make a list of major tasks to be accomplished. That plan should be put into action and completed according to the timeline developed by event planners.

6. A successful event often relies heavily on good publicity. Planners should consider their potential audience and use the maximum amount of publicity possible in their target markets.

7. After making sure everything is in place, follow the event checklist and make the event happen.

8. Finally, take the time to evaluate the event after it is over. Evaluating an event can involve determining attendance, assessing audience satisfaction, and determining what should be changed if the event were to be held again in the future.
