Some businesses expand their scope and geographical reach from behind a telephone or computer, while others have the need to be present wherever business is being conducted. For the latter, expansion requires well thought out planning in order to make existing resources available to new locations. When those resources are hard copy documentation, expansion can quickly become a nightmare.

Hard copy documentation simply can’t be at two places at once. Inter-office transfers through a mail system may temporarily solve the problem at one location, but for multiple locations, the only alternative is prodigious use of a fax machine. The process of filing, finding, faxing and re-filing paperwork over and over is not only time consuming but can quickly degenerate the quality of a document. It’s for this reason that many business owners who haven’t already switched their hard copy over to the electronic medium are now doing so.

The benefits of doing so are many, and the cost associated with document imaging is economical. This is especially true when substantial amounts of documentation need to be transferred. Volume can greatly reduce the cost per page.

For businesses with years and years worth of paperwork, the process can also free up storage space. Whether documents are located in one particular office or duplicated to meet the needs of several locations, converting to the electronic format can replace row upon row of filing cabinets while also making the converted data more secure and less susceptible to damage or loss. .

Many outsourced service providers can turn large volumes of paperwork into electronic files through document imaging (scanning). With the right equipment , this process can be performed with such speed that it will only take the documentation out of circulation for a very short time. If businesses require the ability to alter the documents once they are in the electronic format, optical character recognition can be used to turn scans into working docs that can be altered as is they were created on any word processing software.

For business with multiple locations, having data that would otherwise not be available at employee’s fingertips is a necessity. Whether regional or global, information is one of the primary building blocks of business.
