The short answer to what is a call center is rather simple. It's a central building, or office, that is designed to handle a large amount of incoming phone calls. Some call centers are located within a building housing the rest of the company, while other call centers are separate entities, existing in their own building or buildings. These larger call centers often handle the phone calls for many different parts of a company, or many different offices – sometimes from all over the world.
Most centers are open spaces, divided with cubicles, that hold many different workstations. Usually, each workstation includes a computer for logging phone calls, as well as a phone connected to a headset for easy handsfree access. Each workstation is staffed by a call center employee, who can be called a customer service representative, specialist, or any variation on this theme. Also on the “floor” (a term for the general room of workstations) are usually a few supervisor workstations – these supervisors are there to support the rest of the call center staff.
But what is a call center without calls? Most call centers are set up so that all incoming calls are routed through a queue – so that the calls are answered in the order that they are received. Many call centers have quality control measures in place so that their queues of callers do not have to sit on hold for long periods of time – this makes sure that the people answering the phones are constantly turning over calls. They spend only a certain allotted time on each call before answering another.
Finally, the calls can be logged into a central computer system, so that everyone in the company can see the information recorded – not just those people in the call center. This makes sure that any issues that come in via phone call can be handled by the appropriate people, and allows for those who call in to receive calls back or other correspondence.
What is a call center? Far from just one person sitting at a desk answering questions, a call center is a well oiled machine with many different people working in harmony to make sure that all phone calls and questions are answered.
